Q1. What is a Vendor Master in MDM?

ANS: Vendor master data comprises all relevant information about goods and services sources. The vendor master data usually includes procurement history, contract records, inventory data, supply categories and other important information about vendors and suppliers.

Q2. Why is Vendor Master important?

ANS: A Vendor Master ensures data consistency, reduces the risk of errors, enhances procurement processes, improves supplier relationships, supports compliance, and enables effective reporting and analytics.

Q3. What type of information is required for a Vendor to be onboarded?

ANS:A Vendor Master typically includes essential vendor information such as name, address, contact details, tax identification numbers, payment terms, purchasing history, certifications, and more, depending on business needs.

Q4. How does MDM prevent duplicate Vendor onboarding?

ANS: MDM prevents duplication of Vendor onboarding by data matching and merging duplicate records, ensuring that a single, accurate Vendor record is maintained.

Q5. Mandatory Documents required to onboard a Vendor?

ANS: To Onboard a Vendor MDM will 1st validate the documents of the Vendor. Below are the mandatory documents:

1. Certificate of Incorporation

2. License

3. Passport

4. TRN Number

Q6. What to do if a Vendor is not found in the Vendor selection dropdown?

ANS: If a Vendor is not found, Please raise a freshdesk ticket, with the above mentioned mandatory documents attached.

Q7. What to do if Mandatory documents are not available for Vendor Onboarding?

ANS: If above mentioned Mandatory documents are not available, Please reach out to BU head for approval and attach the approval email along with the ticket.

Q8. What will MDM do if Mandatory documents or required information is not provided in the Freshdesk ticket?

ANS: MDM will reject the request asking for the required information or Mandatory documents.
